AI Email Automation for DPACO's HR
Project Overview
A PMC company's HR team was spending hours manually writing and sending individual emails to candidates. They had LinkedIn CSV exports with candidate details and a folder full of CV PDFs but no way to use that data at scale.
I built an AI-powered system that reads both the LinkedIn CSV and each candidate's CV PDF, generates a fully personalised email for every candidate, and sends 100+ emails in one go without the HR team writing a single line.
The Problem
- HR team was manually copy-pasting candidate names into email templates
- Generic emails had low response rates
- Reviewing 100+ CVs and writing tailored emails was taking days
- No system to track what was sent to whom
How the System Works
HR uploads LinkedIn CSV + CV PDFs
The team drops in the exported LinkedIn candidate list and all CV files nothing else needed.
AI reads and matches each candidate
The system extracts key details from each CV skills, experience, education and matches them with the LinkedIn data for that candidate.
Personalised email generated per candidate
Using the candidate's actual background, the AI writes a unique email for each person that references their specific experience and why they're a fit.
100+ emails sent in one click
HR reviews, approves, and the system sends all personalised emails at once with each candidate receiving something that feels individually written.
What It Replaced
- Hours of manual CV reading per candidate
- Copy-paste email templates with just the name swapped
- Back-and-forth between HR and hiring managers for email drafts
- Missed candidates due to time constraints
